Plan an airport transfer around your journey

Choose the guide that matches your trip, then gather the addresses, flight details and luggage information before arranging a transfer. The same booking details will not suit every journey: an airport collection, hotel departure and cruise connection each need a different timing check.

If your itinerary includes several stops or a requirement you cannot explain in the booking form, contact us before confirming it.

Airport arrivals and departures

For an arrival, provide the flight number, airport and terminal, then follow the collection instructions for your booking. Allow for the time spent inside the airport after landing. For a departure, work backwards from the airline’s check-in and bag-drop requirements.

London addresses and hotels

Use the full address and postcode for the destination, with the correct property name if it is a hotel. Check whether an apartment requires key collection elsewhere and whether a large building has a separate visitor entrance.

Connections between airports

Check both flights, terminals and dates before choosing the road pickup time. Include baggage collection, any entry formalities, the journey and the next airline’s deadlines. A map estimate covers only part of the connection.

Use the airport-to-airport guide to prepare the itinerary. If both flights use Heathrow, check the airline’s connection instructions first; you may have a transfer route within the airport.

Groups and families

Count each passenger and list the luggage for everyone travelling. Include cabin bags, child seats, pushchairs and equipment. If people are arriving on different flights or joining at separate addresses, choose a lead contact and agree the collection plan in advance.

Business travel

Give the traveller’s contact details with their knowledge and share the booking reference and pickup instructions with them. For a meeting, allow time to reach reception and complete any visitor checks after arriving at the address.

Cruise connections and longer itineraries

For a longer road journey or a route with several stops, send the complete itinerary and ask us to confirm what can be arranged. Include dates, addresses, passengers and luggage so the discussion starts with the trip you actually need.

A journey you have already booked

If you need to change an existing journey, use the manage booking guidance and quote your reference. Explain the change and ask for confirmation rather than making a second booking to replace the first.
