Group and family airport transfers
Count the luggage before choosing the car. Four people with four standard check-in bags need different space from four people with those bags, four cabin cases and a pushchair. Passenger capacity and luggage capacity are separate limits, and both need to work for your journey.
Make one list for the whole party. Include children in the passenger count and describe bulky items separately so they are considered before the vehicle is confirmed.
Choose for people and bags
Group XL is listed for up to eight passengers and six standard check-in bags. Eight people with one large case each exceed the published bag allowance. Essential XL is listed for four passengers and four standard check-in bags; cabin cases, a pushchair or other equipment need to be checked in addition.
For a useful enquiry, send one list covering all passengers and all luggage, the pickup addresses and the lead traveller’s contact details. Ask about any load outside the published limits before selecting a category. Do not assume that the example model guarantees a particular seating layout.

What to include in the luggage list
List standard check-in bags and cabin bags separately. Add pushchairs, child seats you are bringing, wheelchairs, walking aids, golf clubs, skis, musical instruments and any other equipment. For large items, send dimensions and say whether they fold or can be separated into smaller pieces.
Avoid using a single description such as “family luggage”. One family may have soft overnight bags; another may have several rigid cases and a double pushchair. The useful information is the actual load that will travel.
The fleet page lists the current passenger and standard check-in bag allowances. If you are close to either limit, contact us before booking. A seat left empty does not automatically become a safe place for a large suitcase.
Child seats
Before booking, tell Customer Care how many children are travelling, their ages and whether you intend to bring your own seats. Ask what further sizing or vehicle information is needed and request confirmation of the proposed arrangement, any availability limits and any charge. A request in a message is not confirmation that a seat has been arranged.
Discuss child seat needs before confirming the journey. Give each child’s age and the information needed to identify a suitable seat, and say whether you intend to bring your own. Ask us to confirm availability and suitability for the proposed vehicle.
UK rules include specific exceptions for children travelling in taxis and private hire vehicles when the correct seat is unavailable. Do not rely on an exception as your plan for the journey. Arrange an appropriate seat in advance and consult the GOV.UK child car seat guidance if you need to check the rules.
Remember to include the child seat itself when discussing space. If you are bringing one for the return trip, make sure your arrangements cover what happens to it while you are away.
Travelling with a wheelchair or mobility aid
Describe what the passenger needs during the journey. Tell us whether they can transfer to a vehicle seat, whether the equipment folds, and its dimensions. If they need to remain in a wheelchair while travelling, confirm a suitable vehicle and arrangement directly with us before booking.
Airport assistance should be requested separately through the airline or travel organiser, ideally at least 48 hours before departure. CAA assistance guidance explains how to request it. Arranging help in the terminal does not communicate the requirements for the car journey.
People arriving on different flights
Choose a lead passenger and decide where the party will meet. Send the flight details and terminals for everyone joining the collection. A shared pickup needs to account for the last person to clear arrivals and collect their luggage.
Keep each traveller informed if the meeting plan changes. If one flight is delayed, discuss whether the group will still travel together before asking others to move to another terminal or meeting point. A driver cannot resolve conflicting instructions from several members of the same party.
Multiple pickup addresses
List every address and the number of people joining at each one. Include the luggage that will be added along the way. Ask us to confirm the stops and timing before making arrangements with the rest of the group.
For a departure, have each household ready at its agreed collection point. For a return, check the flight details and luggage again rather than copying the outward journey unchanged. You may be bringing more bags home or taking people to different addresses.
Before the journey
Share the booking reference, pickup details and contact information with the lead traveller. Check that everyone agrees on the date and local pickup time, especially if the flight crosses midnight. Keep essential medicines, travel documents and the items needed in the car accessible without opening a large suitcase.
