Find answers about flight details, pickups, luggage and changes below. If your question concerns a journey you have already arranged, have the booking reference ready when you contact us.
How online booking works
- Enter your journey. Choose One way, Return or By the hour. Select each location from the address suggestions, then enter the date, pickup time, passengers and suitcases. An airport pickup requires the flight number. Check both legs for a return.
- Choose a vehicle. Compare the available options with the passenger and luggage allowances. Read the price information for the selected journey.
- Add passenger details. Use contact details the traveller can access and check the required information. Discuss child seats or unusual luggage with Customer Care before confirming.
- Review before payment. Check the addresses, dates, times, vehicle, passenger details and total, including VAT. Read the terms shown. Reaching the review screen is not proof of payment or a confirmed journey; follow the confirmation and payment status supplied for your booking.

Booking details
What information do I need for an airport pickup?
Have the airport, terminal, flight number, date, destination address, passenger count and luggage details ready. Use contact details the travelling passenger can access after landing. Tell us about child seats, mobility aids or an onward flight before confirming the journey.
Should I enter landing time or the time I want to leave?
Follow the time field’s label and help text in the booking form. Keep the flight’s scheduled arrival time separate from the requested pickup time. If you are unsure how to allow for passport checks or baggage collection, ask us to clarify the pickup arrangement before confirming.
What if my flight arrives after midnight?
Check the local arrival date on your itinerary. An overnight flight can land on a different date from the one on which it departed. Compare the date and time in the booking summary with the arriving flight, including the return leg if you have one.
Can I book for another person?
Make sure the travelling passenger receives the reference and collection instructions. Provide their contact details with their knowledge, and agree who will contact us if anything changes. For a group, nominate one lead passenger.
At the airport
Where will the driver meet me?
Follow the collection instructions agreed for your booking. Airport pickup areas vary by terminal and can change. If you do not have clear instructions, contact us before leaving the terminal or choosing a car park yourself.
What if I cannot find the meeting point?
Contact us with the reference, terminal and a nearby sign or landmark. Stay somewhere you can describe clearly while the location is checked. Avoid moving between exits without telling the person helping you.
What should I do if my flight changes or my bags are delayed?
Send an update with the booking reference and any new flight details. If you are still inside the terminal, explain where you are and whether the rest of your party is ready. Ask how the delay affects your collection and waiting arrangements.
Are waiting time and parking included?
Check the terms and price information for your particular booking, and ask us about anything unclear before confirming. Ask when waiting starts and what happens if baggage collection takes longer than expected. An airport’s published parking tariff does not establish what is included in your transfer.
Passengers and luggage
Use the group luggage examples to prepare one list for everyone travelling. Discuss child-seat requests before confirming; a vehicle choice alone does not confirm a seat.
Do children count as passengers?
Yes. Include every child in the passenger count and discuss the appropriate child seat in advance. Tell us whether you are bringing a seat and ask us to confirm the arrangement for the vehicle.
Do cabin cases and pushchairs count as luggage?
Include them when describing your load. The fleet table lists standard check-in bags, so cabin cases and bulky items need a separate mention. Send dimensions for unusually large items rather than assuming they fit an unused seat or spare corner.
Can I travel with a wheelchair or mobility aid?
Contact us before booking to explain the equipment and passenger requirements. Include dimensions, whether it folds and whether the passenger can transfer to a vehicle seat. If the passenger needs to remain in a wheelchair, confirm a suitable arrangement directly. Airport assistance should also be arranged separately with the airline or travel organiser.
Can we stop at more than one address?
Discuss every stop before confirming the journey. Provide the addresses, the number of passengers joining or leaving at each and the complete luggage load. Ask for the agreed itinerary to be confirmed.
Connections and return journeys
How long should I allow between flights at different airports?
There is no single allowance suitable for every itinerary. Check baggage arrangements, arrival formalities, the road journey and the next airline’s check-in deadline. Our airport connection guide explains how to build the plan and what to check with the airline.
Should I check the return booking separately?
Yes. Confirm its date, airport, terminal, address, passenger count and luggage. Your return flight may use a different terminal or airport, and the load may have changed since the outward trip.
Changing a booking
How do I request a change or cancellation?
Follow the manage booking guidance and contact us with the reference and the requested change. Ask for confirmation of the outcome. Check the cancellation and refunds information and the terms attached to the booking; do not create a replacement booking until the original journey’s status is clear.
I booked through the previous website. What should I do?
For a booking made through the previous website, contact the provider named in your original confirmation. Heathrow Airports Taxi does not manage bookings made through the previous booking system.
